Cloud print and scan, made for your Canon fleet

uniFLOW Online is Canon's cloud platform for managing print and scan across your business. Jobs release securely at any device, scans land straight in Microsoft 365, every page is tracked, and there's no print server to own, patch or back up.

Talk to us about uniFLOW Online

What is uniFLOW Online?

uniFLOW Online moves the brains of your print environment into the cloud. Instead of a print server in the back room, your Canon devices connect securely to the uniFLOW Online platform: users authenticate at the panel, jobs follow them to whichever device they release at, and every page is logged against the person and department that printed it.

Because it's built by Canon for Canon hardware, the integration is native: the login screen, scan workflows and release queue live right on the device panel, and setup on a managed GBS fleet is fast. Updates, resilience and security patching are handled in the platform, not by your IT.

GBS configures uniFLOW Online as part of our managed print service, so the software, the devices and the support all come from one local team.

Features and benefits

What uniFLOW Online gives your team from day one.

Secure print release

Print jobs hold in the cloud until the user badges or signs in at a device. Confidential pages never wait in a tray, and uncollected jobs never print.

Print anywhere

One queue for the whole fleet: print from your desk, release at any Canon device in any office. Perfect for teams that move between sites.

Scan to Microsoft 365

One-touch scan workflows send documents to OneDrive, SharePoint, Teams or email, named, filed and searchable instead of stuck in an inbox.

Cost tracking & reporting

Every print, copy and scan attributed to users and departments, with reports that make print costs visible and chargeable.

Mobile printing

Staff print from laptops and phones without drivers or IT setup, with the same security and tracking applied to every job.

No print server

The platform runs in Canon's cloud: no server hardware to buy, no patching, no backup jobs, and one less thing on the IT risk register.

Why businesses move print to the cloud

Less infrastructure, more control

The print server used to be the piece everyone forgot until it broke. uniFLOW Online removes it entirely, and what replaces it is more secure and easier to run.

Always current

Features and security updates arrive in the platform automatically. Your print environment stops ageing the day you switch it on.

Secure by design

Jobs are encrypted in transit and at rest, users authenticate with their Microsoft 365 identity, and nothing prints until its owner is standing at the device.

Scales with you

New starter, new device or a whole new site: enrolment takes minutes, and the subscription grows (or shrinks) with your actual headcount.

Is uniFLOW Online right for your business?

It's the natural choice when your organisation:

  • Runs (or is moving to) a Canon device fleet under managed print
  • Is cloud-first, with Microsoft 365 for identity and no appetite for more servers
  • Handles documents that need secure release rather than open output trays
  • Wants scanning to land in SharePoint, OneDrive or Teams automatically
  • Needs print costs visible and attributable without running report scripts

Common questions

What is uniFLOW Online?

uniFLOW Online is Canon's cloud-based print and scan management platform. It provides secure print release, follow-me printing across the fleet, scan workflows into Microsoft 365, mobile printing, and full cost tracking, all without an on-premise print server. GBS supplies and supports it as part of our managed print service.

Do we need a print server for uniFLOW Online?

No, and that's the point. The platform runs in Canon's cloud. Devices connect securely from your network, and print jobs travel encrypted. There's no server hardware to buy, patch, license or back up.

Does it work with Microsoft 365?

Natively. Users sign in with their Microsoft 365 identity, and scan workflows deliver documents straight into OneDrive, SharePoint, Teams or Exchange email. Access follows your existing user accounts, including starters and leavers.

Does uniFLOW Online only work with Canon printers?

It's designed for and deepest on Canon devices, where the sign-in, release queue and scan actions run natively on the panel. If your fleet is mixed, talk to us: depending on the devices, PaperCut may be the better fit, and we support both.

How is uniFLOW Online licensed?

By subscription, scaled to your users and devices, billed alongside your GBS managed print agreement. One predictable line item instead of servers, licences and maintenance renewals.
