Know, control and secure every page you print

PaperCut is the world's most widely used print management software. It shows you exactly who prints what, holds jobs until the right person releases them at the device, and cuts print waste dramatically, whether you run it on your own server with PaperCut MF or fully in the cloud with PaperCut Hive.

Talk to us about PaperCut

What is PaperCut?

Most businesses have no idea what their printing actually costs, or where sensitive documents end up after someone hits print. PaperCut fixes both. It tracks every job by user, device and department, applies your rules (duplex by default, colour only where it's justified, quotas where they make sense), and reports it all in plain dashboards.

Secure print release is the feature people feel first: jobs wait in a queue until the person who printed them badges or logs in at any device and releases them. No more documents sitting in output trays, no more reprinting because you walked to the wrong printer, and a real reduction in uncollected waste.

GBS designs, licenses and supports PaperCut across our print fleet clients, from a single office to multi-campus schools.

What PaperCut does

The core toolkit, whichever edition you run.

Secure print release

Jobs hold until the user authenticates at the device with a card, code or login, so confidential documents never sit in a tray.

Find-Me printing

Print to one queue, release at whichever device suits. Walk-up printing that just works across the whole fleet.

Tracking & reporting

Every page attributed to a user, department, or client matter. Dashboards and scheduled reports show exactly where print spend goes.

Waste reduction

Duplex and greyscale defaults, rules that catch accidental 100-page jobs, and uncollected jobs that simply never print. Most sites cut volumes 15-30%.

Mobile & BYOD printing

Staff, students and guests print from laptops, tablets and phones without IT setting up drivers, with the same rules and tracking applied.

Integrated scanning

Scan actions on the copier panel send documents to email, folders or cloud storage, tracked and secured the same way as print.

Two ways to run it: MF or Hive

Same PaperCut philosophy, two architectures. GBS will recommend the right one for how your business runs.

PaperCut MF (on-premise)

The full-featured edition, running on your own server. Deep integration with the copier panel, embedded device apps, offline resilience, and the richest rules, scripting and reporting. The standard choice for schools, government and larger organisations that already run server infrastructure, and the one with the most granular control.

BEST FOR SCHOOLS & ORGANISATIONS WITH SERVERS

PaperCut Hive (cloud)

Everything runs in the cloud: no print server to buy, patch or back up. Devices join a secure mesh, users authenticate with their Microsoft 365 accounts, and new sites or staff are added in minutes. Per-user subscription pricing keeps it predictable. The natural fit for cloud-first businesses that want print management without infrastructure.

BEST FOR CLOUD-FIRST BUSINESSES, NO SERVERS

Where PaperCut earns its keep

PaperCut runs in over 100 million users' print environments worldwide. These are the industries where we deploy it most.

Education

Student quotas, BYOD printing, and waste control across campuses. PaperCut's home turf: it was built for schools.

Healthcare & aged care

Patient records held at the device until released. Privacy at the printer, not left in the tray.

Legal & professional

Print and copy costs tracked to client and matter codes, ready to bill and audit.

Government & business

Departmental cost allocation, secure release for sensitive documents, and sustainability reporting.

Is PaperCut right for your business?

It's a strong fit if your organisation:

  • Doesn't know what printing costs, or who the volume is coming from
  • Handles documents that shouldn't sit in an output tray: client, patient or student records
  • Wants to cut print waste and show progress on sustainability
  • Needs to allocate print costs to departments, clients or cost centres
  • Wants staff and guests to print from any device without IT hand-holding

Common questions

What is PaperCut?

PaperCut is print management software that tracks, controls and secures printing. It provides secure print release, per-user and per-department cost tracking, print policies that reduce waste, and mobile/BYOD printing. GBS supplies and supports PaperCut alongside our managed print fleets.

What's the difference between PaperCut MF and PaperCut Hive?

PaperCut MF is the full-featured on-premise edition that runs on your own server with deep copier integration, the standard for schools and larger organisations. PaperCut Hive delivers the same core capabilities entirely from the cloud with no server required, on per-user subscription pricing, ideal for cloud-first businesses.

Does PaperCut work with our printers?

Almost certainly. PaperCut supports all major brands, and embedded apps for Canon devices give the best experience: badge readers, on-panel release and scan actions. We'll confirm compatibility across your fleet as part of scoping.

How much printing will we actually save?

Most sites see a 15-30% reduction in print volume from secure release (uncollected jobs never print), duplex/greyscale defaults, and simple visibility: people print less when it's attributed. The reporting shows you the saving in dollars, not guesses.

Can students or guests print from their own devices?

Yes. Web print, email-to-print and the PaperCut mobility options let BYOD users print without installing drivers, with the same rules, quotas and tracking as everyone else.
