Meeting rooms where the technology just works

Walk in, tap Join, and the meeting starts: camera on, everyone heard, screen shared. GBS designs, installs and supports Microsoft Teams Rooms and video conferencing systems sized to each space, from huddle rooms to boardrooms.

One tap, not ten minutes of fiddling

Everyone knows the first five minutes of a hybrid meeting: the laptop hunting for the screen, the echo, the person on the far end asking if anyone can hear them. A proper meeting room system ends that. The room itself is the meeting participant: a certified touch console on the table, a camera and microphones built for the space, and your calendar on the door.

We build rooms around Microsoft Teams because that's where regional businesses already live, and certified Teams Rooms hardware means the experience is the same in every room: walk in, one tap, meeting on. The same rooms happily join Zoom and other calls when a client insists.

GBS handles the whole thing: room design, hardware supply, installation and cabling, configuration into your Microsoft 365 tenancy, and support afterwards. And because we also run phone systems and Teams Calling, your rooms and your telephony land as one system, not two projects.

What we supply

Certified hardware, sized to the room it lives in.

Video bars & room kits

All-in-one video bars for small and medium rooms, and modular camera, microphone and speaker kits for larger spaces. Certified for Teams, ready for anything.

Touch consoles

The tap-to-join controller on the meeting table: start, add people, share and end the meeting without touching a laptop.

Room displays

The right screen (or pair) for the room, wall-mounted and cabled cleanly, with interactive display options where you want to write on the screen.

Room booking panels

A panel at the door showing availability at a glance: book the room on the spot, and end the meetings-in-doorways problem.

Audio done properly

Microphones and speakers matched to the room's size and shape, so the far end hears everyone, not just the person nearest the laptop.

BYOD rooms

For spaces that stay simple: plug-in or wireless presenting from any laptop, with the room camera and audio along for the ride.

Buying guide

Match the system to the space

Room systems fail when the hardware doesn't match the room. This is how we size them.

Huddle & small rooms (2-5 people)

A compact all-in-one video bar under the screen and a touch console on the table. Simple, affordable, and the room everyone fights over because it always works.

Medium rooms (6-10 people)

A larger video bar with a wider lens and speaker tracking, extension microphones so the far end of the table is heard, and dual displays where content and people each get a screen.

Boardrooms & training rooms

Modular kits: PTZ cameras that frame whoever's speaking, ceiling or table microphone arrays, proper speakers, and control from one console. Designed room by room, never guessed.

Do your rooms need this?

Talk to us about meeting rooms if your business:

  • Loses the first five minutes of every meeting to cables and settings
  • Has remote staff, other offices or clients who regularly join by video
  • Runs on Microsoft 365 and wants rooms that feel like part of it
  • Has a boardroom where the far end can never quite hear everyone
  • Wants room availability visible and bookable at the door

Common questions

What is a Microsoft Teams Room?

A meeting room with certified hardware (camera, microphones, speakers, a room display and a touch console) signed into its own Teams account. The room joins meetings itself: you walk in and tap Join, rather than plugging in a laptop and hoping.

Will it work with Zoom and other platforms?

Yes. Teams Rooms can join Zoom, Webex and Google Meet meetings as a guest, so client calls on other platforms are still one tap. We keep the setup vendor-neutral and platform-friendly.

What does a meeting room system cost?

A small huddle room starts at a few thousand dollars installed; boardrooms with tracking cameras and microphone arrays are more. We quote room by room after a quick look at the spaces, and reuse existing displays where they're up to it.

Can you use our existing TV?

Often yes. If your current display is the right size for the room with the right inputs, we build around it and put the budget into the camera, audio and console where it makes the real difference.

Do the rooms need ongoing management?

A light touch, which we provide: software updates, health monitoring so a failed camera is fixed before the 9am meeting finds it, and configuration changes as your needs evolve. It folds into GBS managed IT.

Also in our hardware range: Business laptops & desktops  ·  Servers & storage  ·  Business networking  ·  Smart boards & interactive displays  ·  UPS & power protection
